Job Requirements:

About Key Responsibilities:

  • Serve as a liaison between Potential, clients, subcontractors, consultants, suppliers, and all internal and external stakeholders for all outlined responsibilities.
  • Establish RFP tenders within the document management system and collaborate with CPM and/or PCM, as well as the procurement team, to prepare RFP invitations, relevant documentation, and exhibits. Issue invitations.
  • Assist the CPM with EPC agreement versions, monitor exhibit revisions, transmit redlines and contractor feedback to procurement and CPM when necessary, and ensure the use of the latest templates and technical documents.
  • Provide support for turbine supply agreements as required.
  • Assist CPM and Procurement Manager or Engineering in the preparation and execution of owner-supplied equipment agreements through the tender process.
  • Process approvals and documentation for the execution of agreements, purchase orders (POs), Letters of Notice to Proceed (LNTPs), and master service agreements.
  • Manage all incoming Requests for Information (RFIs), Submittals, Change Orders (COs), and route them to the appropriate parties for responses and closure, including transferring RFIs from one Contractor to another.
  • Maintain a log of submittals, RFIs, and Potential Change Orders (PCO)/Directives to ensure timely responses.
  • Ensure all regulatory and environmental permits, inspections, and plans are completed and posted in the document management system.
  • Review and finalize the Table of Contents (TOC) for QA/QC Job Book documentation at the project's outset, aligning it with specific project requirements.
  • Conduct a monthly review of submissions, ensuring synchronization between the document management system and paper copies of job books, keeping pace with work progress.
  • Perform in-field audits of the documentation process, verifying the adherence to QA/QC procedures in the field and the accuracy of received documentation, including health, safety, and environmental documents.
  • Collaborate with CPM, site teams, and internal engineering teams to ensure the accuracy of received documentation, including health, safety, and environmental documents.
  • Work with CPM, site teams, and internal departments to meet monthly deliverables, including weekly and monthly reports, updated drawing logs, safety and environmental reports, and more.
  • Provide finance with monthly progress numbers, narratives, and cash flow information for lender reports, as needed by the CPM.
  • Ensure contractor administrative staff adhere to drawing naming conventions and correctly upload documents into the document management system.
  • Assist CPM in reviewing and executing Completion Certificates for Contract Milestones. Ensure deliverables have been met and route them through appropriate legal approvals, as necessary.
  • Prepare, review, and track Change Orders (COs) and other project costs as required by the CPM.
  • Ensure all project documents are properly filed, including as-builts and closeout documents.
  • Collect subcontractor O&M manuals, accepted submittals, and all related project materials.
  • Promote a culture where health, safety, and environmental considerations are the top priority for everyone involved in the construction project.
  • Participate in safety moments and ensure that every meeting begins with one.
  • When on-site, complete at least one safety audit per week in collaboration with the CPM or an experienced on-site personnel.
  • Ensure that all environmental permits are maintained in the document management system, and related deliverables are properly distributed to stakeholders.
